Job Purpose:
The Maintenance Supervisor ensures the physical integrity of the community, oversees maintenance staff, and manages work orders, make-ready units, and ongoing property projects to deliver an exceptional resident experience.
Qualifications & Requirements
- HVAC certification required; working knowledge of electrical, plumbing, HVAC, and general construction
- 2–3 years hands-on maintenance experience, including installation, repair, and troubleshooting of building systems
- Experience managing: work order prioritization, vendor coordination, maintenance budgets, inventory control, on-call scheduling, preventive maintenance schedules, and maintaining curb appeal
- Ability to lead, train, and coach staff, while also working effectively as part of a team
- Strong customer service, communication, and problem-solving skills
- Organized, detail-oriented, and able to prioritize multiple tasks under pressure
- Professional demeanor with ability to maintain confidentiality and follow procedures
- Physical ability to lift heavy loads, climb ladders, and perform work in varying conditions (townhomes are 3 floors)
- Ability to work weekends, overtime, and on-call as required (Turn July–Aug mandatory)
- Basic computer skills for maintenance tracking, system access, and reporting
Primary Duties and Responsibilities:
- Providing excellent service to residents, guests, employees, and contractors
- Overseeing and training all maintenance staff to ensure coverage and consistent standards
- Scheduling and completing work orders, ensuring timely response (24-hour policy)
- Maintaining community cleanliness and upkeep of common areas, grounds, and amenities
- Monitoring maintenance shop, inventory, and supplies within budget
- Coordinating vendor work and reviewing work for quality
- Ensuring compliance with OSHA, EPA, and other government regulations
- Maintaining operations and response plans for emergencies including asbestos, lead, and mold
Daily/Weekly Responsibilities:
- Meet with Community Manager daily to review maintenance issues, make-ready status, and staffing needs
- Inspect common areas, grounds, breezeways, and parking lots for cleanliness and safety
- Schedule and assign work orders, make-ready tasks, and move-outs/move-ins
- Update make-ready boards and track status in CSR
- Oversee key log and ensure accountability for all keys
- Provide on-call coverage and weekend maintenance support
- Maintain logs (MSDS/OSHA/EPA), CSR, and preventive maintenance schedules
- Monitor pool, irrigation, trash compactor, and breezeway standards
- Review staff uniforms, shop cleanliness, and tools inventory
Monthly/Quarterly Responsibilities:
- Walk property for car checks, safety hazards, and landscaping inspections
- Conduct monthly property inspections with Community Manager; recommend improvements and cost-saving initiatives
- Maintain equipment inventory and track warranties for appliances and HVAC
- Oversee training and certifications of maintenance staff
- Inspect units quarterly for HVAC filters, mold, and overall condition
- Maintain emergency vendor list and coordinate critical vendor responses
Turn Responsbilities:
- Coordinate vendor work and schedules for make-ready units
- Conduct pre- and post-move inspections and document issues for follow-up
- Review move-in forms within 15 days to ensure all maintenance concerns addressed
- Assist with unit punch lists and resident/vendor communication
Education/Experience:
- Associate degree or equivalent technical training, or 2–3 years related experience
- Hands-on maintenance experience in student housing preferred
Budget & Staff responsibilities:
- Administer and monitor budget; make expenditure decisions as approved
- Hire, discipline, promote, and evaluate maintenance staff (1–10 employees)
- Assign and delegate work; provide formal training and instructions
Working Environment & Physical Demands:
- Office, outdoors, mechanical facility, changing weather, toxic chemicals, loud machinery, above-ground work, confined spaces
- Physical activity includes walking, standing, lifting, climbing, reaching, stooping, kneeling, and communication with residents and staff
- Travel outside property as needed
